Medtrade Spring 2017 is at the Mandalay Bay Convention Center, 3950 Las Vegas Boulevard South, Las Vegas, NV 89119.

You may begin moving in on Sunday, February 26, 2017 at 8:00AM – 5:00PM and Monday, February 27, 2017 from 8:00AM - 5:00PM.

All displays are to be completely installed by 5:00PM on Monday, February 27. Show Management will consider any booth not set by 5:00PM vacant and appropriate action will be taken. Detailing and last minute adjustments may be made on Tuesday, February 28 from 7:00AM - 10:00AM.

 

Exhibitors may begin dismantling their displays immediately after the show closes on Wednesday, March 1, 2017. All booths that are smaller than 400 square feet have until 8:00PM on Wednesday, March 2 to be clear of the hall. Booths that are 400 square feet or larger have until 12:00PM on Thursday, March 2 to be clear of the hall.

The return of empty containers will begin immediately after the aisle carpet and vehicles are removed from the Exhibit Hall. In agreement with the Exposition Terms and Conditions, exhibitors may not dismantle or remove any portion of their exhibit prior to closing time on Wednesday, March 1, 2017. This rule will be strictly enforced.

SPECIAL NOTES: Upon commencement of move-out, all aisles are to be kept entirely clear of exhibit material so that all aisle carpet may be removed. No empty crates will be returned until ALL aisle carpet has been removed. It will take several hours for all of the empty crates and boxes to be returned so please be patient during this process and schedule your travel departures accordingly.

In order to assure all exhibitors of an expedient move-out, complete cooperation is required between exhibitors and Shepard Exposition Services. All vehicular movement at the Mandalay Bay Convention Center loading docks must be coordinated and approved by Shepard Exposition Services in advance.

 

You are allowed to set-up and dismantle your own booth provided the staff utilized is full-time company personnel of the exhibiting company.

If you are using an Exhibitor Appointed Contractor (EAC), the online EAC Notification Form and the EAC's Certificate of Insurance must be submitted prior to move-in.

The shipping location depends on the time-frame in which you ship your materials.

The most convenient method is to ship them is in advance to the Shepard Warehouse. They give you confirmation of receipt and the materials are waiting in your booth for you when you arrive on-site. The Shepard Warehouse will begin to receive freight on Tuesday, Jan 31 through Friday, Feb 17.. The advance shipment address is:

The marshaling yard is an area where all vehicles going to the loading docks of the convention center must go to check in and get a number. The number is used to expedite and maintain orderly move-in of all exhibitors.

No, only materials that can be hand carried by one individual in one trip may be brought into the exhibit hall by an exhibitor. Multiple trips by one person is not allowed. If you have questions, please contact Shepard at 702-507-5278.

Linear, Corner and Perimeter booths

Medtrade Spring Show Management requires each exhibiting company and Exhibitor Appointed Contractor (EAC) to carry general liability insurance, automotive liability (if applicable) and workmen’s compensation coverage.

Additional insured should be listed as follows: Emerald Expositions, Medtrade Spring 2017, Shepard Exposition Services, and Mandalay Bay Convention Center.

If you don’t have insurance that meets the requirements, insurance can be procured from the Marsh TotalEvent Exhibitor Insurance Program or your insurance provider.

Exhibitors will not be able to set-up until we have received your certificate of insurance using the above submission link.

Badges will not be mailed for Medtrade Spring. You may pick up your badge at Registration desks during registration hours. 

Each exhibiting company may register eight staff members per 100 net square feet of exhibit space at no charge. Additional staff may be registered for a $25 per person charge.

Yes, exhibitors may add the Medtrade Spring Conference Package to their registration for the cost of $49.

Once your company has paid in full for the exhibit space, you may register your staff. During the registration process, if a country outside of the United States is selected, you will have the option of requesting an invitation letter to be emailed to you.

A Show Directory listing is the contact information, company description, and product categories that will be published both on the Medtrade Spring website and in the printed Show Directory. It's a key tool in telling the attendees about your company before, during and after the show. The final deadline for entering your information to be included in the printed Show Directory is January 13, 2017. Log into Medtrade Connect today to complete your profile.

Hotel reservations can be made online through the Hotel & Travel section of the Medtrade Spring website. OnPeak is the official housing agent for Medtrade Spring.

Due to the proximity of the official hotels and the convention center, shuttle service between the hotels and the Mandalay Bay Convention Center will not be available at Medtrade Spring.

From McCarran International Airport:
Exit the Airport on Swenson St., heading north. Go Straight on Swenson Street. Turn left onto East Tropicana Ave. Turn left onto South Las Vegas Blvd. The Mandalay Bay will be on your right.

From Henderson (US95 & Lake Mead Drive):
Take Lake Mead Drive West, which will turn into I-215. Take exit 11 towards Las Vegas Blvd. Continue straight, and then turn right onto Las Vegas Blvd. Make a U-turn at East Hacienda Ave. The Mandalay Bay will be on your right.

From Downtown Las Vegas:
Head North on South Las Vegas Blvd. towards East Flamingo Rd. Make a U-turn at East Flamingo Rd. Mandalay Bay will be on your right.

Exhibitors and attendees have two large parking structures to choose from. The Convention Center parking lot is located on the corner of Russell & Las Vegas Blvd., close to the Four Seasons. Parking is also available at THEhotel parking garage located between Frank Sinatra Drive and Hacienda Avenue. Both lots are open 24 hours a day and are complimentary.

Mandalay Bay offers a variety of dining locations throughout the Mandalay Bay Convention Center, providing guests with cafes and food courts on each level of the convention center and through the hotel and casino.

Wheelchair and scooter rental is available through Desert Medical Equipment. Visit their website or call (866) 711-9171.

Medtrade 2017 will be in Building C at the Georgia World Congress Center in Atlanta. The expo will be held October 24-26. Medtrade Spring 2017 will be at the Mandalay Bay Convention Center in Las Vegas. The Expo Floor will be open on February 27-28.

Registration is currently closed for Medtrade Spring.

Cancellation requests for refunds must be received in writing by January 27, 2017 and will be subject to a $50 cancellation fee. Cancellation requests should be emailed to medtradespring@experient-inc.com. No refunds are available to persons who register after January 27, 2017. All refunds are issued after the show has concluded. No refunds will be made for Expo/Show Floor Only and/or for Special Events. An organization may substitute one person for another without penalty.

 

If you have a promo code (from postcard, magazine ad, email, or web ad), enter it during registration to receive the offer. Codes will not be honored if expired and are not good on completed registrations. Promo codes are not valid onsite.

 

A NONEX, short for non-exhibiting manufacturer, includes companies that produce or supply a product or service to attendees of Medtrade events. If your business model is to sell to or consult the attendees at Medtrade events and you do not have a booth, you are considered a NONEX. This long-standing policy was instituted to maintain the professional environment of the show, while protecting the interests of our attendees and exhibitors.


Manufacturers, certain distributors and suppliers of HME products/services and in some cases consultants who do not exhibit in the show will be charged a minimum of $500 per person admission to the show floor or $699 to attend the expo and the conference (rates depend on time of registration). Badges will be limited to five (5) from any approved NONEX company. NONEX's can attend Medtrade for one (1) year to evaluate the event for future participation. Access to the show by NONEX's will be limited to executive level personnel only - no sales titles. Consistent with our current policy, approved or unapproved NONEX's will not be allowed under any circumstance to hold offsite events at show appointed hotel properties. Medtrade reserves the right to accept or reject registrations and to cancel any previously accepted reservations, at any time, at its sole discretion, without liability to the registrant or any other party.

Badges will not be mailed for Medtrade Spring but must be picked up at the onsite registration desk prior to entering the expo floor or any conference sessions. 

Medtrade Spring offers post-show access to our educational conference sessions. Notes and audio will be available for sessions from this year's event in our online Conference Digital Library. The library will allow you to "attend" a session you missed or one you’d like to hear again. The Digital Library is available as an add-on to your conference pass and provides access to sessions for one year.

If a speaker provides their slides to us, they will be made available in the Medtrade Spring app. Conference attendees will receive an email when they are available with instructions on how to access them.

For liability reasons, no children under the age of 16 are allowed on the show floor at any time. Proof of age may be requested.

Show Management is respectful of the time and resources utilized by each exhibitor and speaker in the research and development of new and exciting products for the HME marketplace. In an effort to protect our exhibitors and speakers, unauthorized photography or video recording is not allowed on the Expo Floor or in Conference Session rooms at Medtrade Spring without first obtaining permission from the exhibitor or speaker. Violators will be ejected from the show and could be denied entry to future Medtrade events and/or be prosecuted.
