EAC Notification Form

Exhibitors using an Exhibitor Appointed Contractor (EAC) other than GES to setup or teardown their exhibit must complete and submit this form by March 16, 2012. It is the exhibitor’s responsibility to make sure that all independent contractors are properly identified and badged prior to arrival. EAC's should not be included in your registered booth personnel unless working in the booth during show hours.

The EAC must be licensed, insured and authorized to work in the Georgia World Congress Center. EAC's must adhere to all rules and regulations of Medtrade, GES, the Georgia World Congress Center and the local unions. This includes keeping “no freight aisles” clear, marking empty crates to be cleared off the show floor, and being properly badged. The clean floor policy will be strictly enforced and fees may apply.

"The Exhibitor Appointed Contractor's (EAC) Certificate of Insurance, with complete information as listed below, must be submitted to Show Management as an attachment to this form." EAC's will not be allowed access to the Medtrade show floor if the certificate is not on file with Show Management by April 6, 2012.

The following information MUST be contained on the Certificate of Insurance:

  • "Producer" - Name, address, and phone number of insurance carrier.
  • "Insured" - Company name, address, phone number, and booth number of company insured.
  • "Coverage" - Coverage must be provided for General Liability, Automotive Liability, and Worker's Compensation, complete with policy numbers, effective dates of coverage, and limits of coverage as detailed below:
    • Comprehensive General Liability with no less than $1,000,000 each occurrence and $2,000,000 aggregate, combined single limit for bodily injury and property damage, including coverage for personal injury, contractual, and operation of mobile equipment, products, and liquor liability (if applicable).
    • Automobile Liability Insurance with no less than $500,000 each occurrence combined single limit for bodily damage and property damage, including coverage for owned, non
    • owned, and hired vehicles, including loading and unloading operators.
    • Worker's Compensation Insurance including employee liability coverage, in a minimum amount not less than $1,000,000 of individual and/or aggregate coverage.
  • "Description of Special Items" - Nielsen Expositions-Medtrade 2012, Global Exposition Specialists, and the Georgia World Congress Center must be listed as additional insured for the dates of October 21-28, 2011. These dates cover move-in, show days, and moveout.
  • "Certificate Holder" - Information should read:
